I conquer half the map for the southern empire but my name doesn't comes up ... I got 7 fiefs and thats it no matter how much I conquer how much my influence is its loads more than any other my name won't come ...I tried proposing re allotment of fief my name again never pops up its irritating ,being a six tier clan still feeling useless

Think you hit a hard cap of fiefs eventually. In a previous playthrough I had a very similar experience to you.. Joined a faction, led a sucessful war, gained a ton of fiefs... Then suddenly nothing... No matter what I did my name wouldn't come up for vote... I guess it kinda makes sense if you see it from a ruler's perspective... don't want any of their subjects to get funny ideas..

I hope the game will give you additional information about this at some point. I want to know why I am not getting rewards and what I have to do to get them again.

But then why should I fight wars and defend other Lords fiefs if there's no benefit

I guess should have waited for 6-8 months before starting with the game the early access seems too incomplete ...i can't even take armour from my prisoner Lord ...Why they did away with even the most basic features of Warbrand is beyond my understanding

Location for sure (owning something next to captured fief) and either # of fiefs or prosperity of your fiefs (think the latter) compared to other clans seem to be big factors. Balancing out fief prosperity is more important than location hence why you probs getting shafted. New lords have nothing while older clans have 10k+ prosperity cities, castles are worthless as are newly conquered cities hence new lords get lots of fiefs quickly. I have no idea if clan rank might come in to it or not, potentially if it's done on # of fiefs over prosperity. Relation didn't seem to matter.

Just my 2 cents and observations after 1900+ day campaign of playing about with the voting system a lot.

I have also observed it is location. If you have a fief nearby you might be one of the choices.

still there's a huge maybe or might be involved and then again limitation on no. of companions I keep ..I assign them governors but they don't fight to defend the city or do any self recruitment of defenders and all
